Clinical Trial Research Coordinator
Including central Clinical Studies Manager responsibilities
Job description
Coordinate the delivery of clinical trials and other clinical studies across participating sites, from feasibility and start-up through study conduct, close-out and reporting. You will combine practical research coordination with central management of timelines, resources, site performance and study documentation, while supporting participant protection and reliable research data.
Company description
Heritage Alliance Ltd is a health research and data science company based in Belgium, working with partners in Africa and internationally.
Who we are
We bring clinical, operational and data expertise together to deliver research with health facilities and academic partners, particularly in settings with constrained resources.
Our core domains of activity
Health Data Sciences & Advanced Analytics: Support consistent study-data collection, timely query resolution and coordinated preparation of datasets for analysis.
Complex Clinical Research, including Clinical Trials and Implementation Science: Coordinate interventional and observational studies, pragmatic trials and implementation research across participating institutions.
Innovation & Digital Health Systems Development: Introduce fit-for-purpose electronic study tools and reporting workflows that support research teams and participants.
Why people join Heritage Alliance Ltd
A mission-driven environment: Help deliver studies that address health priorities relevant to participating communities.
Cutting-edge technologies: Work with electronic data capture, study-management systems and digital monitoring tools.
International exposure: Collaborate with investigators, sponsors, laboratories and partners across countries.
Growth and leadership opportunities: Lead study operations, strengthen site teams and improve research delivery practices.
Your opportunity
This appointment includes central coordination across sites and requires demonstrated study-management capability. It suits an experienced research professional who can anticipate operational problems, maintain clear accountability and support site teams through resolution.
Role description
You will coordinate with principal investigators, the sponsor or its designated representatives, and site research teams. Responsibilities will follow documented delegation and contracts. Investigator and sponsor accountability remains with those parties; medical decisions remain with appropriately qualified investigators and clinicians.
- Plan study delivery: Translate the protocol into operational plans, milestones, staffing requirements and a risk register; assess site feasibility and readiness with investigators and partners.
- Coordinate study start-up: Track ethics and regulatory submissions, amendments, contracts, insurance documentation, registration and site activation requirements; verify required approvals before study activities begin.
- Manage central operations: Maintain the integrated schedule and budget tracker, coordinate vendors and partner deliverables, resolve cross-site dependencies and escalate resource or performance problems.
- Support site teams: Organise initiation and refresher training; maintain study manuals, standard operating procedures and delegation records; coordinate investigator meetings and follow up agreed actions.
- Support participant pathways: Help sites implement approved recruitment, informed-consent and follow-up procedures; monitor retention, missed visits and barriers to participation, with appropriate community engagement.
- Coordinate safety workflows: Ensure adverse events and serious adverse events reach the investigator and designated safety team promptly; track follow-up and reporting deadlines under the protocol and applicable requirements.
- Maintain study records: Keep the central trial master file and site documentation complete, current and retrievable, including approvals, training records, correspondence and version-controlled study materials.
- Coordinate data and digital tools: Work with data managers on electronic data capture, case report forms, access permissions, query resolution and database-lock readiness; preserve audit trails, confidentiality and blinding.
- Support quality oversight: Coordinate risk-proportionate monitoring with designated monitors, track deviations and corrective and preventive actions, and prepare sites for audits or inspections while preserving independent oversight.
- Coordinate study logistics: Work with pharmacy and laboratory teams on investigational-product accountability, specimen handling, supplies and transport; maintain randomisation and blinding arrangements where applicable.
- Report and close studies: Produce operational dashboards for recruitment, data completeness and milestones; coordinate close-out, archiving, registry updates and dissemination with investigators and the sponsor.
Travel and on-site work: Site initiation, coordination, training and close-out visits, according to study requirements.
Qualifications
Essential
- A degree in medicine, nursing, pharmacy, biomedical sciences, public health, clinical research or a related field. A relevant master’s degree is an advantage.
- Substantial clinical-research experience, including demonstrated coordination of multicentre clinical trials and central responsibility for schedules, site performance and study delivery.
- Current Good Clinical Practice (GCP) training and practical knowledge of International Council for Harmonisation (ICH) E6(R3), applied alongside the requirements of the countries and studies concerned.
- Hands-on experience with ethics submissions, consent processes, essential study records, protocol deviations, safety-reporting workflows and monitoring follow-up.
- Competence with electronic data capture and study-management tools, for example REDCap, OpenClinica or equivalent systems, plus strong spreadsheet and reporting skills.
- Demonstrated organisational judgement, budget tracking, partner coordination and the ability to escalate issues that affect participants, data quality or study timelines.
- Clear scientific and operational writing, fluency in English, a good command of French and willingness to travel to study sites.
- Appropriate professional registration if the assigned duties include regulated clinical practice; clinical licensure is not a blanket requirement for the management role.
Desirable
- Experience with African research institutions, infectious-disease studies, pragmatic trials, implementation research or studies involving vulnerable populations.
- Experience with public or European-funded research, trial registration and results disclosure, or the European Union Clinical Trials Information System where relevant.
- Recognised clinical-research or project-management certification, and experience mentoring coordinators across several sites.
Our offer
Remuneration: Negotiable, reflecting experience, responsibilities, duty station and contract arrangements.
Career development: Professional development in clinical-trial operations, research quality and central study management, with opportunities to build and mentor research teams.
Working environment: Multidisciplinary collaboration, access to relevant technical resources and opportunities to contribute to international health research. Benefits and working arrangements will be specified in the employment offer.
